What goes in the carrier intake form?
The carrier intake form collects your operating basics so your dispatcher can review realistic lane opportunities and broker matches before your first conversation. Here is what we ask and why:
| You tell us | Why we ask |
|---|---|
| Equipment | Ensures we only search freight your trailer can legally haul (dry van, reefer, flatbed, step deck, hotshot, box truck, or power only). |
| USDOT number | The federal FMCSA identifier used to confirm active interstate operating authority and safety records on SAFER. |
| Authority age | Helps your dispatcher target freight brokers whose tenure requirements match your authority, from day-one authorities to established carriers. |
| Home base | Ensures regular outbound and inbound freight lanes are planned around your desired home time and schedule. |
| Preferred contact method | Tells your dispatcher whether to call, text, or email your initial rate analysis and lane plan. |
What happens after I reach out?
A dedicated dispatcher contacts you within 2 hours during dispatch hours by phone, text, or email. From initial contact to your first dispatched load, onboarding takes three clear steps:
- Initial consultation. We review your equipment specifications, preferred freight lanes, home time schedule, and confirm our transparent 5–11% per-load fee structure with zero hidden costs.
- Agreement and documentation. If the fit is right, you sign a straightforward dispatch agreement and send your carrier packet (COI, W-9, and factoring Notice of Assignment if applicable). You can cancel anytime with written notice and zero termination fees.
- Load matching and dispatch. Your dispatcher searches premium load boards and direct broker contacts, negotiates top spot rates, sends you rate confirmations for approval, and handles check calls and broker communications.
For a detailed breakdown of each step, view our full onboarding walkthrough.
What documents should I have ready?
You can call or submit the form without any documents ready. When you decide to move forward, having these items accessible speeds up carrier setup:
- USDOT and MC operating authority: Your active FMCSA motor carrier registration details.
- Certificate of Insurance (COI): Showing active auto liability (typically $1,000,000) and cargo insurance (minimum $100,000).
- IRS Form W-9: Signed taxpayer identification form for broker setup.
- Notice of Assignment (NOA): Factoring company documentation and voided check if you factor your freight invoices.
Frequently Asked Questions
Do you work with new authorities?
Yes. Candor Trucking actively dispatches motor carriers of all authority ages, including new authorities under 90 days. While certain freight brokerages maintain 30, 60, or 90-day waiting periods, our dispatch team maintains relationships with brokerages that load newly issued MC authorities immediately. We help you navigate early market friction and build positive broker tenure from your first run.
What equipment and states do you dispatch?
Candor Trucking dispatches dry van, refrigerated trailers (reefer), flatbed (including step deck and RGN), hotshot (CDL and 40ft non-CDL), box truck (24'–26'), and power only for owner-operators and small fleets. We provide freight dispatch coverage across all 48 contiguous United States, with specialized regional lane expertise in high-volume industrial and interstate freight corridors.
How much does truck dispatch cost?
Our dispatch fee is 5% to 11% per load depending on equipment type (typically 5–7% for dry van and reefer, 7–9% for flatbeds and step decks, and 8–10% for hotshot and box trucks). Fees are detailed on our dispatch pricing page. There are zero upfront sign-up fees, zero weekly minimums, and zero owed during weeks your truck does not roll. You pay only when you successfully complete a booked load.
Do I have to accept every load you find?
No. Candor Trucking operates strictly with no forced dispatch. You maintain 100% control over your truck, your schedule, and your lanes. Every load offer is presented with complete rate, lane, and commodity details. You decide whether to take the load, and you personally approve every broker rate confirmation before anything is booked.
